Invite your team

A workspace starts with just you. Invite teammates by email, pick a role for each, and they join with a link. This guide covers sending invites, the difference between a Member and an Admin, changing a role, and how to revoke or remove access later.

Only Admins and the Owner can invite, change roles, and remove people. Everyone manages these from the same place: Settings → Members.

Send invites

  1. Open Settings → Members. The page reads "See who is in {workspace}, send invitations, and remove access when you need to." Two tabs sit at the top: Members and Invitations.
  2. Switch to the Invitations tab, then click Send invites to open the invite modal: "Add one or more email addresses. We'll email each person a link to join. Duplicates in the list are only sent once."
  3. Fill in each row — an Email address and a Role dropdown. The role choices are Member or Admin only; Owner can't be granted.
  4. Click Add another email to add more rows, then send. You'll see "Invitation sent" (or "N invitations sent" for several).

Each person gets an email with a join link. They sign in with the invited address, and the invitation appears on their Workspace invitations screen to accept. Re-inviting an address that already has a pending invite doesn't send a second email; if you picked a different role, the pending invite's role is updated.

Add the whole team at once

You don't need one modal per person. Stack a row per teammate with Add another email, set each one's role, and send them together — the summary toast confirms how many went out. Nobody is added until they accept their link.

Member vs Admin

Roles are deliberately coarse — they govern workspace administration, not what you can do with a specific post or channel.

  • Member — the default. Members use WriteMars as their own tool: create posts, connect and manage their own channels, schedule and publish to them, and browse everything shared to the workspace.
  • Admin — everything a Member can do, plus the admin surface: admin-only Settings (General, Labels, States, Post defaults, Plan & usage), the Overview tab on Channels, inviting and removing members and changing roles, and connecting and posting directly to company channels. Members don't see any of these; the admin items are simply absent from their sidebar.

The one thing an Admin does not get is power over a teammate's personal channels. An Admin can't publish through, or reshare, someone's personal channel unless its owner has explicitly shared or trusted them on it — the same gate that would route their post to approval. Keep the Admin list short: two or three people is plenty even in a large workspace.

Change a member's role

On the Members tab, the role dropdown next to each person switches them between Member and Admin — use it to promote someone who's taking on company channels and approvals, or to step someone back down. The change takes effect immediately: the admin-only Settings pages and the Overview tab appear or disappear the next time they load. The Owner role can't be changed from here.

Revoke a pending invitation

Switch to the Invitations tab on Settings → Members. It lists every pending invite with its status. While an invite is still pending, you can revoke it — the join link stops working immediately.

Remove a member

On the Members tab, Admins and Owners remove a member with the trash icon next to their row. Confirm the warning first — removal is permanent and it "permanently deletes their member profile and all of their public and private skills in this workspace."

Removal is also retroactive: posts the departed member scheduled to gated channels re-route to approval instead of publishing, and their pending automations stop. The Owner can't be removed, and anyone except the Owner can remove themselves to leave the workspace.

Removing access vs revoking an invite

Use revoke on the Invitations tab for someone who was invited but hasn't joined yet. Use remove on the Members tab for someone who has already accepted. Removing doesn't touch a person's account or their other workspaces — only their membership here.

Browse who's on the team

Settings → Members is the access-control surface — who's in, at what role. It is not where you learn what people do.

To see who a teammate is and what they write about, use the People directory in the sidebar: "Browse teammates and what they post about." It lists every current member with an optional per-workspace profile (headline, topics, About) and their public writing skills.

Every member can read every profile, but only you can edit your own — select your card and choose Edit profile. A good first task for anyone you invite is to fill in their headline and topics, which also helps AI understand who's writing when it drafts for them.
